When this policy says "we", "us", or "our", it refers to Vardhan Systems LLP. When it says "you", it refers to anyone who visits or uses this website.
We collect information you provide directly to us through our contact form: your name, email address, phone number, company, the service you're interested in, and your message.
When a chat assistant is enabled on this website (operated on our own infrastructure), the messages you type — and any contact details you choose to share in the conversation — are collected so we can respond to your enquiry.
We also collect fully anonymous usage statistics using our own first-party analytics: which pages are visited, which buttons are clicked, and the referring website's domain. This system uses no cookies, stores no IP addresses, and cannot identify you personally.
For spam protection, our contact endpoints briefly process your IP address to rate-limit repeated submissions. It is used for that purpose only.
We do not collect payment information, national ID numbers, or any other sensitive personal data on this website.
Contact form submissions are used solely to respond to your enquiry. We use your name and email to reply, and your phone number only if you've asked us to call you.
We may follow up once if we haven't heard back, but we do not add you to any mailing list or marketing sequence without your explicit consent.
Anonymous usage statistics are used to understand which pages are useful and how to improve the website. They are stored on our own infrastructure and never shared with anyone.
Contact form submissions are stored in a secure database (Neon, a managed PostgreSQL provider). Access is restricted to authorised members of the Vardhan Systems team.
We retain contact form data for up to 12 months, after which it is deleted unless an active business relationship exists.
Anonymous usage statistics are stored in the same database. Because they contain no personal data, they cannot be linked back to you.
This website sets no analytics, advertising, or tracking cookies at all — our analytics are cookieless by design. The only thing stored in your browser is your light/dark theme preference (localStorage), which never leaves your device.
That's why you won't see a cookie consent banner here: there is nothing to consent to.
Our website is hosted on Cloudflare. Server logs may include your IP address as part of normal web infrastructure operation, and our form endpoints use your IP transiently for rate limiting (spam protection) — it is not stored with your submission.
When enabled, the chat assistant runs on our own systems — chat conversations are stored there under the same retention rules as contact form data. AI-generated replies are produced using third-party language-model APIs; conversation text is processed by those providers to generate responses.
We do not sell, rent, or trade your personal information to any third party, ever.
You have the right to request a copy of any personal data we hold about you, ask us to correct inaccurate information, or ask us to delete your data.
To make any such request, email us at support@vardhansystems.in with the subject line "Data Request". We will respond within 7 business days.
This website is not directed at children under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has submitted information to us, please contact us and we will delete it promptly.
